This policy explains what personal information we collect, why we use it, who we share it with and what your rights are. We have tried to keep it short and in plain English. If anything is unclear, please get in touch.

1. Who we are

Synaptic Edge Intelligence is an AI-driven marketing agency based in Lockerbie, Scotland. We help tradespeople (such as roofers, builders, electricians and plumbers) and other service-based small businesses win more customers.

The controller of the personal information described in this policy is Iain Giesecke, trading as Synaptic Edge Intelligence. This means we decide how and why it is used.

We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR).

2. Who this policy covers

This policy covers people who visit our website, people who enquire about our services, and the people we deal with at our prospective and existing client businesses.

If you are a customer of one of our clients and sent an enquiry through an ad or form we run for them, please see section 10.

3. What we collect and why

3.1 Our lead quiz and enquiry forms (website and Meta lead ads)

What we collect: your name, business name, trade, email address, phone number, location, and your answers about your business and your marketing.

Why: to work out whether we are a good fit for your business and to contact you about our services.

Lawful basis: our legitimate interests in responding to enquiries and finding new clients, and taking steps you have asked for before entering into a contract with us.

Meta lead ads: if you fill in one of our forms on Facebook or Instagram, Meta collects your answers and passes them to us. Meta also handles information about your use of its platforms under its own privacy policy.

3.2 Booking a discovery call

What we collect: your name, email address, phone number and the time you book, through our online scheduling tool.

Why: to arrange the call, send you confirmations and reminders, and get ready for the conversation. We take notes during the call and keep them in our CRM (see section 3.3).

Lawful basis: taking steps you have asked for before entering into a contract, and our legitimate interests in running our business.

3.3 Managing our client relationships (CRM)

What we collect: contact details, notes (including notes from calls), emails, call history and records of the work we do for you, stored in our customer relationship management (CRM) system.

Why: to manage our relationship with you, deliver our services, keep accurate records and handle billing.

Lawful basis: performing our contract with your business, our legitimate interests in running our business, and complying with legal obligations (for example tax records).

3.4 Cookies, the Meta Pixel and other tracking

Our website uses cookies and similar technologies. Some are strictly necessary to make the site work. Others, including the Meta Pixel, help us understand how people use the site, measure how well our ads perform, and show our ads to people who have visited us (retargeting). These may collect information such as your IP address, device and browser details, pages you view and actions you take.

Lawful basis: we only use non-essential cookies and the Meta Pixel if you agree through our cookie banner. You can change your choice at any time using the cookie settings link on our website or by clearing cookies in your browser.

Meta as joint controller: when the Meta Pixel collects information on our website and sends it to Meta, we and Meta Platforms Ireland Limited may be joint controllers for that collection and transfer. Meta is responsible for what it then does with the information. See Meta's privacy policy for details and for how to exercise your rights with Meta.

3.5 Marketing emails and messages

We may send business contacts emails or messages about our services, tips and offers.

Every message includes an easy way to unsubscribe. You can also contact us at any time to opt out, and we will stop.

4. Lead scoring and automated decisions

We may use automated tools, including AI, to score or sort enquiries. This only helps us decide who to follow up with first. A person always reviews enquiries and makes the decisions, and we do not make any decisions based solely on automated processing that have legal or similarly significant effects on you.

5. Who we share your information with

We do not sell your personal information. We share it only with trusted providers who help us run our business, under contracts that require them to keep it safe and use it only as we instruct. These include:

Some of our providers are based in, or store data in, the United States or other countries outside the UK. When this happens, we make sure your information is protected by one of the following:

7. How long we keep your information

We keep information only for as long as we need it. Our current default periods are:

After these periods we securely delete or anonymise the information.

8. How we keep your information safe

We use appropriate technical and organisational measures to protect your information. These include access controls, strong passwords and two-factor authentication, encryption where available, and choosing reputable providers. No system is completely secure, but we work to reduce risks and will act quickly if something goes wrong.

10. If you are a customer of one of our clients

When we run lead generation for a client business, we handle the enquiries that their customers send in (for example, a request for a roofing quote) on that client's behalf. In that case the client business is the controller and we act as its processor, following its instructions. Please see that business's own privacy notice, and contact them directly about your information.

11. Children

Our services are aimed at businesses and are not intended for children. We do not knowingly collect information from anyone under 18.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top. If we make important changes, we will let our clients know.
